Subscription management and secure back-office processes for OneDoc with Odoo
CONSENSO maintains and continues to develop OneDoc's Odoo environment. Orders, subscriptions, recurring revenue, accounting, payroll and HR processes are represented in Odoo — within a specially secured operating and support model.

Initial Situation
OneDoc's sales process is run in an upstream CRM system up to the point of quotation. Once a sale closes, the customer orders and subscriptions have to be taken into Odoo and managed across their entire term.
Alongside operational subscription management, OneDoc needs transparency over recurring revenue such as monthly recurring revenue and annual recurring revenue. At the same time, core finance and HR processes such as accounting, payroll, recruitment and employee appraisals are handled through Odoo.
The existing Odoo environment had originally been built by a different implementation partner. A custom-developed solution was in use for Swiss payroll processing. With a current Swissdec-certified payroll solution becoming available, the opportunity arose to replace this customer-specific legacy development with a more standardised solution.
As a company in the healthcare sector, OneDoc also has high requirements for data protection, information security and control over technical access. Odoo is therefore operated on customer-owned infrastructure. Support and further development require a specially secured access concept.
Solution with Odoo
CONSENSO took over responsibility for OneDoc's existing Odoo environment and developed it further on the basis of current business and technical requirements.
Once the upstream sales process is complete, the customer orders are created in Odoo. The associated subscriptions are then managed through Odoo. Contract terms, recurring services and revenue can be tracked and analysed centrally as a result.
The subscription data also forms the basis for recurring revenue analysis. OneDoc can derive metrics such as monthly recurring revenue and annual recurring revenue directly from the subscriptions held in Odoo.
In addition, accounting and payroll as well as further HR processes are represented in Odoo. These include recruitment and employee appraisals. Email marketing is also supported through the shared platform.
An important part of the ongoing development was migrating Swiss payroll from a customer-specific solution to a current Swissdec-certified Odoo payroll solution. This reduced the dependency on a bespoke development grown over many years and brought payroll processing closer to today's Odoo standard.
For support and further development, CONSENSO established a specially secured technical setup. Access to the Odoo systems and databases is controlled via VPN and additional security measures. The productive environment can therefore be maintained without compromising OneDoc's particular protection requirements.
The Odoo solution supports the commercial, financial and HR processes of the business. The medical appointment platform and the actual management of patient appointments are separate OneDoc core systems.
